The pilot fee covers setup, onboarding and the 45-day run. It is standalone and is not credited toward a subscription. AI usage, hosting and any third-party software are additional and confirmed before signing.

Monthly subscription
€490 a month for every client. It starts with the first 3 months prepaid (€1,470, excluding VAT), then €490 is billed monthly. AI usage and hosting are additional. We confirm the terms in writing before the pilot.
The pilot ends on day 45
On day 45 we review the results together and the pilot ends. Continuing with a subscription is a separate decision that we confirm in writing. Starting a pilot does not commit you to a subscription.
When you’re ready to expand
An additional AI employee is €400 a month, first 3 months prepaid (€1,200), then monthly. A colleague’s inbox counts as another AI employee. We agree its tasks and check readiness first. Custom integrations and cross-department work are quoted separately. We do not ask you to buy the whole roadmap on day one.

All prices exclude VAT. Start dates depend on onboarding capacity, required access and complete inputs. The signed scope and order form govern the engagement.

- Reply time
- We reply to paying clients within 24 hours on working days.
- Business hours
- Monday to Friday, 9:00 to 15:00.
- Approval
- A new deployment first runs in observe mode. No message goes out without your approval.
- Changes
- Each active AI employee adds 4 changes a month to a shared pool. For changes beyond the pool, we give you a written estimate first (€70/hour) and invoice at the end of the month.
- Monthly review
- Once a month we review the service with you.
- AI usage
- Runs on your own AI account, at cost, with no markup.

How much does the first AI pilot cost?
The 45-day pilot costs €690 as a one-time fee, excluding VAT, AI usage and hosting. It covers one agreed workflow. The written scope defines the inputs, integrations, review responsibilities and acceptance criteria before work begins.
What does ongoing management cost?
The subscription is €490 per month for every client. It starts with the first 3 months prepaid (€1,470, excluding VAT), then €490 is billed monthly. AI usage and hosting are additional. The terms are confirmed in the written offer. Each AI employee includes 4 instruction changes a month; extra work is €70/hour after a written estimate.
How do we estimate the full running cost?
Budget for the service fee, AI usage, hosting and any required third-party licences. We check expected message volume, attachment processing and the agreed workflow before quoting. A reply-only workflow and one that reads long documents can have different usage costs. Compare the total with your remaining review time before deciding to continue.
What if the pilot is not worth continuing?
At the end of the pilot, review the actual workload, quality, remaining review time and running costs. Continuing is a separate decision, not a guaranteed outcome or an automatic expansion. Agree the continuation or handover in writing.
Do prices include VAT?
No. All prices on this site are shown excluding VAT.
Who pays for AI usage?
AI usage is paid separately and is not included in the pilot or the monthly fee. The AI model runs on your own AI account, so you pay the provider at cost, with no markup from Marvix Digital.
